Operations Management with WinTeam

Because TEAM has been working with security contractors for more than 20 years, we know that managing operations at each site effectively is the key to success for your company.  TEAM has many tools to help you manage operations efficiently.

WinTeam, our core management system, has a very unique, job-centric philosophy.  The system was designed in this way to meet the specific needs of security contractors.  Every transaction that occurs in WinTeam is tied to a job number, or service location.  Because we track transactions down to the job level, WinTeam is able to provide your company with powerful information to effectively manage your accounts.

Personnel Scheduling

WinTeam’s Personnel Scheduling module is the heart of the system for security contractors.  It houses everything from billing parameters for each post to compliance requirements.  Personnel Scheduling is highly flexible to meet the many challenges of scheduling trained, eligible employees, paying the employees correctly and billing your customers properly.

  • Define billing parameters and rates for each job site
    • Include detailed information on the invoice, such as employee names, shift start times
  • Master Schedule reflects permanent schedule and parameters for each job site
    • Master Schedule is rolled over to weekly working schedule where changes are made
    • Always revert back to Master Schedule so that original contract parameters are maintained from week to week
    • Prevents wage creep
  • Define training or licensing requirements for each post
  • Interactive Query screen fills open shifts by searching for employees who:
    • Will not cause overtime
    • Are not already scheduled
    • Meet post training requirements
    • Have experience at the job or post
    • Live within a certain distance from job site (integration with Google® Maps)
    • Do not earn more than $X per hour (you define the variable)
  • Color coding to alert users to open shifts, shifts with overtime, conflicts, etc.
  • Insert shifts for special events and extra coverage
  • Interactive reports, such as Overtime Warning report
  • Many other reports to show scheduling activity, billing and pay analysis

After weekly schedules are reviewed and verified, information is seamlessly transferred to WinTeam’s Payroll and Accounts Receivable modules for quick and convenient payroll processing and billing. 

Supporting documentation from Personnel Scheduling can even be automatically attached to each invoice for those customers who require detailed information about their service locations.

Uniform & Equipment Tracking

WinTeam’s Inventory program provides a way to store and track uniform information.  In the Item Master file, you can log different components of uniforms, such as shirts, pants, jackets and track quantities on hand, along with reorder levels.  In addition, you may store prices quoted from different vendors for each uniform component. 

WinTeam also provides a way to issue uniforms and equipment to employees and assign them for use at particular jobs.  Details about the uniform item or piece of equipment are tracked, along with the date issued and cost associated with the item.  Payroll deductions for uniform cost are also supported.  We also provide a standard agreement for the employee to sign which outlines your company’s equipment usage and return policies.

The Equipment Tracker allows you to view items issued by employee or by job.
